Version 1.3 · Effective November 8, 2026
This addendum is part of the Terms of Service. It describes how JKC Strategies, Inc. (“processor”) handles personal information about callers and texters on behalf of the customer (“controller”).
You decide why and how caller data is used for your business. You are the controller of that data. We process it only to provide Optana: answering calls, taking messages, booking, transferring, recording when you enable it, and sending texts you configure. We do not sell caller data and we do not use it to train public models.
We process caller data on your instructions, which are these terms, the settings you save in the dashboard, and the scripts you publish. We will tell you if we believe an instruction breaks the law, and we may stop that part of the processing.
We use access controls, encrypted transport (HTTPS), and separate business accounts so one customer does not see another customer’s calls. No method of storage is perfect. You are responsible for who you invite into your account.
We use the providers below. A provider is involved only when the feature that needs it is turned on for your business.
| Provider | What it does |
|---|---|
| Vultr Holdings | Cloud hosting in a Seattle, US data center. Hosts the application, database, and call recordings. |
| Twilio | Phone calls, SMS and MMS, call recording, transcription, and ConversationRelay. |
| OpenAI | Realtime speech and chat models when an OpenAI key is configured. |
| xAI | Grok chat models when an xAI key is configured. |
| ElevenLabs | Voice synthesis when an ElevenLabs voice is selected. |
| Calendar, Maps, and Google voices through Twilio when those features are connected. | |
| Amazon | Polly voices through Twilio when an Amazon voice is selected. |
| Cloudflare | Delivery of the public website at optana.ai. |
We will update this list before we add a subprocessor that will handle caller data for a feature you already use. If you object on reasonable data-protection grounds, you may stop using the affected feature or cancel.
People who can reach caller data are limited to those who need it to run the service, and they are required to keep it confidential.
If a caller asks you for access, correction, or deletion, you handle that request. We will give you the reasonable help the dashboard and the database allow, and we will pass a request along to you if it comes to us and we can tell which business it concerns.
If we learn of a breach of caller data we hold for you, we will tell you without undue delay after we know, and we will describe what happened and what we are doing about it, so you can meet your own notice duties.
When you cancel and ask us to delete a business, we will delete or return the caller data we still hold for that business, except where we must keep a copy for tax, security, or legal claims. Backups age out on their normal cycle.
We are in Montana, United States. Some subprocessors may process data in the United States or in other countries where they operate. You authorize those transfers as needed to provide the service.
